Remove manual work.
Keep human judgment.
The automations in this blueprint run in the background while reps focus on selling. Stage-based triggers, deal health alerts, follow-up sequences, and CS handoff workflows - each one removes a specific manual step without removing the decision that requires a person.
Over-automating creates noise. Under-automating creates blind spots. This blueprint draws the line between what should run automatically and what requires a human to decide.
Stage-Based Triggers
Each PIVOT stage exit creates a trigger. The trigger removes the next manual step - creating a task, sending a notification, or moving the deal - so the rep can focus on the conversation that advances the stage, not the admin that follows it.
| Stage | Trigger Condition | Automated Action | Human Step Still Required |
|---|---|---|---|
| P · Pain confirmed | pivot_root_cause filled AND pivot_business_problem filled | Create discovery follow-up task for rep (due 2 days). Notify manager of new qualified deal entering pipeline. | Rep writes the follow-up. Manager reviews whether to prioritize. |
| I · Impact quantified | pivot_neg_impact filled with a currency value | Trigger ROI model template in CRM. Move deal to Discover stage. Update pipeline value with buyer's confirmed number. | Rep validates the impact number was the buyer's, not an estimate. |
| V · Value designed | pivot_proof checkbox ticked (case study or PoC attached) | Create demo follow-up task. Add deal to manager's weekly pipeline review queue. | Rep prepares the specific demo flow mapped to this buyer's root cause. |
| O · Champion tested | pivot_champion contact association filled | Trigger Champion-testing checklist task for rep. Flag deal for manager deal review if EB access is still empty after 7 days. | Rep executes the Champion test. Manager decides whether to intervene on EB access. |
| T · Close plan active | pivot_decision_criteria filled AND pivot_close_plan filled | Create daily close-plan task sequence for rep through close date. Notify CSM to prepare onboarding materials. | Rep executes the close plan steps. CSM prepares but does not contact client until contract is signed. |
Deal Health Alerts
| Alert Type | Trigger | Who Gets Notified | Recommended Response |
|---|---|---|---|
| Inactive Deal | No activity logged in 10 days | Rep + Manager | Rep re-engages with a specific value-add reason, not a check-in. Manager reviews if no response in 3 days. |
| No EB Access | Close date within 30 days, pivot_economic_buyer empty | Manager | Manager flags in next 1:1. Rep coached on Champion test and EB access ask. Forecast category updated to Best Case. |
| Confidence Drop | PIVOT Confidence % decreases on any update | Manager | Manager investigates which property dropped. Deal may need to regress a stage. Rep and manager align on new plan. |
| Close Date at Risk | Close date within 14 days, T-stage less than 50% complete | Manager | Forecast category moved to Upside. Rep prioritizes T-stage work. Manager may join next buyer call. |
| Champion Silent | Champion contact has no activity in 14 days | Rep | Rep reaches out with a specific agenda item. If no response in 5 days, manager escalates through alternate contact. |
| Single-Threaded Deal | Only one contact associated with deal above Discover stage | Manager | Manager flags in pipeline review. Rep coached on stakeholder mapping and broadening contact map before Validate. |
CS Handoff Workflows
The handoff from Sales to CS is the highest-risk transition in the revenue motion. Information loss at handoff creates the misalignment that surfaces as churn 6–12 months later. These automations make the transfer of context automatic and verifiable.
| Trigger | Automated Action | CSM Action Required |
|---|---|---|
| Contract marked signed | Auto-create CS onboarding task with 5-day due date. Send PIVOT Transfer Doc (auto-generated from deal properties) to assigned CSM. Move deal to Won in CRM. | CSM reviews Transfer Doc within 24 hours. Flags any missing properties back to AE before first client call. |
| CSM assigned in CRM | Trigger Alignment Session calendar invite to CSM with client stakeholders auto-populated from deal contacts. Create Success Roadmap template pre-filled with confirmed Pain, Impact, and Value from PIVOT properties. | CSM personalizes the Alignment Session agenda. Confirms attendees with Champion before sending the invite. |
| 30 days post-activation | Send CSM a 30-day check-in task. Auto-generate early-win metrics report comparing current usage to baseline KPIs from the PIVOT Transfer Doc. | CSM reviews metrics, prepares the early-win summary, and presents to Champion. Escalates if metrics are flat. |
| QBR due (90 days post-activation) | Create QBR prep task for CSM 14 days before. Auto-generate QBR deck template with actual vs. expected metrics from CRM data. | CSM fills in qualitative context, prepares the next-quarter roadmap update, and confirms EB attendance. |
| Health Score turns Yellow | Alert CSM and CSM manager. Create 3-day intervention task. Flag account in weekly CSM team meeting queue. | CSM runs root cause analysis on the health score drop. Proposes intervention to CSM manager before contacting client. |
Every automation in this blueprint removes a manual step, not a decision. Creating a task is automated. What the rep or CSM says in the interaction that follows is not. The moment an automation tries to replace a judgment call - drafting the follow-up email, deciding the forecast category - it becomes a liability, not an asset.
